Welcome to the 26th Annual Benefit for Hillcrest School: I Want My HTV! Music of the 80’s!
Over the past several months, I have been amazed (but not surprised) by the ability of this community to come together to create something special in the name of our children. Each year the chair is blessed with a team of people to back her up at every step and give much needed advice. This year is certainly no exception…I thank them all. I am so grateful to every volunteer who put forth ideas, time and effort to make this event a success! So many people worked tirelessly soliciting businesses for donations and seeking support from our local commercial enterprises at levels not been seen before. This is difficult work. In particular, I appreciate those who spent days on College Avenue, Piedmont Avenue, in Montclair, in San Francisco and on the phone to businesses near and far: Bal Mears, Tracey Robertson Carter, Sally Fitzhugh, Heraleen Broome, Patricia Remch, Kim Thompson, and Greg Broome. In addition, Rebecca Clark took on the difficult job of advertising and sponsorships with tremendous results!
I am especially thankful for the hours of effort by my Benefit-Elect, Kim Thompson, and the tolerance of her family for my endless phone calls (“Mom, Shannon Broome’s on the phone … again …”). More important than her time, however, was her wise counsel on numerous decision points to make this the best possible party with the greatest results for our school and the kids. I first met Kim in 1988 and we reconnected here at Hillcrest after many years. I knew she would be fantastic but couldn’t have imagined the level of skill she has brought to bear and will bring next year to her position as Benefit Chair. You’re in capable hands!
Finally, I must recognize the talents and contributions of Michelle Thornton, who designed our logo, invitations, and catalog cover, Paul Martín, who printed the invitations and covers, and Debra Fleming Below, who printed the catalog on short notice and with amazing calm!
So many have helped at so many levels that I am sure we may have inadvertently missed a name somewhere in the acknowledgments. Please know that we appreciate every single person who has helped and will help before we are done!

FRIENDS OF THE HILLCREST LIBRARY PRESENT GIFTS OF IMAGINATION, KNOWLEDGE & REMEMBRANCE!
The new Hillcrest library is a beautiful, expanded, state-of-the-art facility, with additional shelving, seating, and extended hours to accommodate students, teachers and parents. There is, however, an ongoing need to upgrade our book collection, furnishings and equipment. To support these wonderful improvements, and to continue a popular tradition, you are invited by the Friends of Hillcrest Library (FHL) to include your family and friends in our new library. Each person you choose to honor will be sent a letter of acknowledgement, and a bookplate, with his or her name, will be placed in the library book that you select.
A perfect, lasting gift for everyone on your holiday shopping list, bookplate donations are $15 per title or $55 for four titles. Aunts and uncles, grandparents and friends, near and far, will be delighted to know that they are helping to fill the shelves and enhance the new features of our library.

Community Outreach
Music Programs at Lincoln and Santa Fe Elementary Schools
Oakland, California
Hillcrest parents care about public education in Oakland. We demonstrate that each year at the Benefit by raising money for our own programs. It is also a tradition to give our parents the opportunity to contribute to another worthy Oakland school program by setting up a table at the event. This year, consistent with our musical theme, the PTA has selected two enrichment programs that we ask you to consider. The schools are Lincoln Elementary School, which is located on 11th Street at Webster, with principal Caroline Yee, former Hillcrest parent and Santa Fe Elementary School, located at 54th Street and Adeline, with principal Carol Johnson.
What Are the Projects? “With a Banjo on My Knee” is Lincoln Elementary’s project, and it seeks to provide an enriched context for learning for 94 fourth graders. The program’s goal is to hold approximately 6-8 sessions for each of the fourth grade classes in which students will learn to sing songs that evolved from California history. Since most students are from immigrant families, this period in history offers meaningful connections to their lives. They’ll buy CDs for classroom use between sessions and will integrate the music lessons with the social studies curriculum, creating an opportunity for the students to go back in time in a lively way. Activities will also include a campfire sing-along and school assembly. This student population is predominantly composed of English learners including Chinese, Mongolian, Eritrean, and Spanish. Singing experiences provide students the opportunity to acquire fluency in oral language.
“Teaching Violin” is the project at Santa Fe Elementary. The goal is to teach the students to play an instrument and read music. They intend to start with second and third graders and work with these students through their fourth and fifth grade years to develop their skills. Recitals will be held during the Spring Concert. Students will be taught to respect and care for the instruments as an extension of themselves. Not many youth in inner-cities get the opportunity to hold and play the violin. The school believes this program will change lives as they access varied experiences and unleash hidden gifts and creative energies. It will also last for years to come as incoming students will access the violins and pass them on when they leave. But, they don’t have any violins! They need 15 ($3000). They hope our community can help them reach their goal.
How Will the Funds Be Used? For Lincoln, project funds will hire teachers that use music to address social studies, music, and language arts standards, and the development of English language competencies. For Santa Fe, they’ll buy violins.
How Can I Help?If you would like to help, you can approach the Community Outreach table at the Benefit and enter your bidder number with the amount you’d like to donate to these programs. The amount will appear on your invoice at the end of the evening.

Auction Bidding Procedures
GENERAL INFORMATION
Unless otherwise specified, the following conditions apply to all items offered:
- All sales are final. Items may not be exchanged and no money will be refunded. All items are sold “as is.”
- Unless otherwise noted, items and services are good for one year and must be used by November 10, 2007. Unless specified, dates and times are to be arranged at the mutual convenience of both the donor and the buyer. Buyers are responsible for making arrangements in advance, checking expiration dates and restrictions on contracts and/or gift certificates, and for retaining the original paperwork until the donation has been redeemed.
- Catalog descriptions of items include estimates of the item’s fair market value. All values are estimates only and are not guaranteed by the Hillcrest PTA or Hillcrest School. Values are as declared by the donors.
- By his/her purchase, the buyer waives any claim for liability against the School or its employees, the Auction volunteers, the Auction firm and the Auctioneer, and the donor of the property or services. Neither the PTA, the School, the Auctioneer, nor the donor is responsible for any personal injuries or damages to property that may result from the use of property or services sold.
- Getaways: Resort and family properties are not available to student groups or minors unaccompanied by adults. Commercial vacations and accommodations require advance reservations; offer is good on a space available basis; unless otherwise noted, meals, alcoholic beverages, taxes, gratuities, and transportation are not included.
- Restaurants: Reservations are required for most establishments. Unless otherwise noted, alcoholic beverages, taxes, and gratuities are generally not included.
- Services: Gratuities for stylists, technicians, trainers and other service providers are generally not included in gift certificates. Please remember to show your appreciation accordingly.
- Tickets/Passes: Event, performances, and museum tickets/passes that do not specify a date may require advance reservations and be subject to availability.
AUCTIONPAY
We are pleased to have the services of AuctionPay, allowing our volunteers to quickly attach your auction night purchases with our invoicing/receipt software. At Registration or before, volunteers will swipe your credit card into the AuctionPay terminal or you may leave a signed check for us to complete your purchases. If you swipe your card, when you are the successful bidder of an auction item, your credit card number will immediately be associated with the purchase of that item, thus increasing our efficiency the night of the auction as well as in the few days after. AuctionPay helps guarantee less processing error.
SILENT AUCTION BIDDING PROCEDURES
Bid sheets describing each item are displayed near each item. Opening bid amounts and minimum raises are pre-printed on the bid sheets. The bidder should print his/her bid number and the amount at which he/she wants to bid. PLEASE WRITE YOUR BIDDER NUMBER LEGIBLY! BIDS that do not meet the minimum raise requirements may be invalidated by the Benefit Chair.
Please do not write on the backs of the bid sheets. If you fill in the last space on a bid sheet, ask a volunteer for an additional bid sheet. Valid bids must be placed before the Auction closes.
In the event of a dispute, the Auction Board or its designated representative will have sole and final discretion to determine the winning bidder.
An Auction official will nullify your bid if you are blocking or otherwise obstructing another bidder from access to a table at any point during the Silent Auction OR if you bid after the announcement of the close of bidding. Only an Auction official may nullify a bid. Questions concerning the Silent Auction should be referred to an Auction official.
BUY IT NOW
Some items in the silent auction will have a “buy it now” or “guaranteed win” price. These items will be clearly identified on the bid sheet with a “buy it now” line. Typically, this option is available for items with an objective value (e.g., a $100 restaurant gift card) and the “buy it now” price exceeds the stated value by 25%-50% depending on the item.
LIVE AUCTION BIDDING PROCEDURES
The Live Auction will occur during dinner and will continue without interruption until all items have been auctioned. To enter a bid, the bidder raises his/her card. Bidspotters will be assigned throughout the room to assist the Auctioneer in recognizing bids. The highest bidder acknowledged by the Auctioneer will be the purchaser. In the event of any dispute, the Auctioneer will have sole and final discretion to determine the successful purchaser. If the Auctioneer determines that an opening bid is not commensurate with the value of the item or not equal to the minimum set by the donor, the Auctioneer may withdraw the item for sale. Payment for Live Auction items must be received the night of the Auction.
IMPORTANT REMINDERS
The success of the Auction depends on the goodwill of the donors and on careful observance by the buyers of terms stated on bid sheets and gift certificates. BUYERS SHOULD NOT ATTEMPT TO ALTER THE TERMS OF A DONATION. Sales tax will not be charged on any tangible items you purchase at the auction tonight.
IMPORTANT TAX INFORMATION
Federal income tax laws and regulations impose important requirements concerning the documentation you must have in order to substantiate the deductibility of certain charitable contributions. Auction purchases are tax deductible only to the extent that the amount paid for an item exceeds the fair market value of that item. Further, the Internal Revenue Service now requires charitable organizations to provide receipts listing the fair market value of each item. At the Auction and in the week to follow, you will be provided with a receipt that will list both the fair market value of each item purchased and the amount you paid for each item. Please save the receipt for your records in order to substantiate any income tax deductions you may take as a result of your Auction purchases. Buyers and donors should consult with their tax advisers for definite advice concerning deductibility.
PROGRESSIVE BOARD BIDDING PROCEDURES
These items are for multiple bidders. There are no bid sheets for these items, however, there are large boards fastened to the walls. They are pre-populated with a grid, including set price increments. To bid, you must place your bidder number in a grid space that corresponds with a pre-set amount. For some items, you may guarantee your purchase by placing your number in the last column at the highest price. Upon Progressive Board closure, the bidder with the highest price in a row will be the winner. See the example below. The winners are in BOLD.

In some cases, there will be a guaranteed win level – in this example, $250, but in others, the bidding will continue and you’ll just have to fight it out. We will provide additional sheets for the boards to facilitate continued bidding.
